It all begins here. Before you start writing, spend two or three minutes reviewing the job post. Highlight keywords that reveal what the client truly values — tone, deliverables, and goals.
Does the client sound formal or casual? Are they focused on quick turnaround, creativity, or technical skill? Those subtle clues help you match your tone and demonstrate that you “get” what they’re asking for.
Pro tip: Pay attention to what isn’t said. Sometimes the real problem isn’t spelled out in the post — but it’s there between the lines. That’s where your experience can really shine.
Step 2: Identify the Real Problem
Behind every job post is a goal. Maybe the client wants more web traffic, smoother operations, or a fresh brand voice. Your job is to discover that deeper “why” behind the request.
For example, a client might say they need “a blog post about remote work tips.” The surface need is content. The deeper goal? Credibility, engagement, or more visitors to their site.
When your proposal speaks to the real problem — not just the task — you immediately stand out from freelancers who only skimmed the listing.
Step 3: Use ChatGPT to Create a Strong First Draft
Now, this is where technology becomes your greatest helper. ChatGPT can assist you in producing that first draft quickly — no more starting from scratch.
Here’s a sample prompt to try:
Write a friendly yet professional Upwork proposal for a client requesting a blog post about remote work tips. Emphasize reliability, clear communication, and meeting deadlines.
In seconds, ChatGPT will generate a well-structured draft that covers the main points. You might not use it word-for-word (and you shouldn’t!), but it provides a solid starting point.
The secret is giving ChatGPT specific details — project type, tone, and what makes you a good fit. The clearer your prompt, the better your results.
Step 4: Personalize and Polish
Once you have your AI-generated draft, it’s time to make it sound like you. Add one or two sentences that connect your real-world experience to the client’s needs.
For example:
“I recently helped a small business owner create a remote work guide that boosted engagement with her team — I’d love to bring that same energy to your project.”
That one sentence turns a generic proposal into a personalized message that feels authentic and client-focused.
End your proposal with a warm, confident call to action, such as:
“I’d love to chat more about your project goals and how I can help bring them to life.”
Keep a Library of Winning Prompts
Once you find prompts that generate excellent drafts, save them! Keep a simple document of ChatGPT prompts organized by project type — such as blog writing, admin support, social media, etc. Over time, you’ll create a personal library that saves you even more time and helps you maintain a consistent tone and style.
